This User Guide will walk you through the following steps of setting up and using Digital Mirror:
If you encounter any problems, please see our Troubleshooting page (http://digitalmirrorsoftware.com/app/user_guide/1.1.2.0/messages.php) for more information. If you are interested in Digital Mirror's Diagnostic Tools, please see the Diagnostic Tools documentation (http://digitalmirrorsoftware.com/app/user_guide1.1.2.0/diagnostictools.php).
Before you begin using Digital Mirror, please ensure that your PC meets the following requirements:
Operating system: Microsoft Windows XP, Vista, or 7
Hard drive space: 196 MB of free hard drive space on
the drive where you install Digital Mirror.
Free hard drive space equal to at least 12% of the size
of the email files you plan to analyze on the drive where your
system's application directory is located (typically the C: drive).
RAM: At least 1 GB
Screen resolution: At least 1024x768 screen resolution is recommended
Email client:
Digital Mirror currently supports Gmail and select versions of Microsoft Outlook. If you are a Microsoft Outlook user, Digital Mirror requires Microsoft Outlook 2002, 2003,
2007, or 2010 (32-bit)* to be installed.
* While Digital Mirror should work with the 32-bit version of Outlook 2010, please be
aware that this new version has not been tested as thoroughly as the other supported
versions of Outlook. Digital Mirror will not currently work with the 64-bit version
of Outlook 2010.
This free version of Digital Mirror cannot process email from clients other than Gmail or Microsoft Outlook versions listed above. Outlook 2010 (64-bit), Outlook Express, Windows Mail, Windows Live Mail, or other email clients are not supported at this time.
Applicable to Outlook users only: Please note that although you can convert your email to Outlook format using various methods, you will still need a supported version of Outlook installed on your computer for Digital Mirror to analyze your email.
If you use Outlook with an Exchange server and store your email on the server, or if you use an IMAP server, you will need to copy your email to your local hard drive if you want Digital Mirror to analyze it. Please see our Remote server instructions page (http://digitalmirrorsoftware.com/app/user_guide/1.1.2.0/remote_server.php) for instructions on how to do this.
We recommend that you have at least 5,000 unique email messages, with at least 80% of the messages written in a supported language, for Digital Mirror to create meaningful visualizations. This version of Digital Mirror is optimized for American English and German, although some support for British, Irish, and Indian English is included. If these requirements are not met, Digital Mirror might still be able to create some visualizations, but they might be incomplete.
If your PC and email meet these requirements, you are ready to download and install Digital Mirror.
If your email is stored on a remote server (such as an Exchange or an IMAP server), you will need to copy the email you want Digital Mirror to analyze to your local hard drive. Please see our Remote server instructions page (http://digitalmirrorsoftware.com/app/user_guide/1.1.2.0/remote_server.php) for instructions on how to do this.
If you have not yet downloaded the Digital Mirror installer, visit the Digital Mirror download page (http://digitalmirrorsoftware.com/app/download.php). Click the "Download" button to begin downloading the software.
Once the download is complete, locate the installer executable on your hard drive, and double-click the file to begin installation. Choose "Run" if you are presented with a security warning.
When you see the "Welcome to the Cataphora Digital Mirror Setup Wizard" message, click "Next" to continue installation. You will be presented with the "End-User License Agreement" for Digital Mirror. To accept the agreement, select the radio button next to the statement "I accept the terms in the License Agreement." Click "Next" to continue.
By default, Digital Mirror will be installed in your computer's application data directory. To change where Digital Mirror will be installed, enter a different location in the "Folder" field, or select another location using the "Browse" button. Click "Next" to continue.
On the next screen, choose whether you want the installer to place a shortcut on the Desktop. We recommend leaving this option checked. Click "Next" to continue, then click "Install" to proceed with the installation.
When the installer is finished, you will see a window that says "Completing the Cataphora Digital Mirror Setup Wizard." By default, the installer will launch Digital Mirror when it is closed. If you wish to run Digital Mirror at a later time, uncheck the "Launch Cataphora Digital Mirror" box. Click "Finish" to complete the install process.
You are now ready to run Digital Mirror.
If you just finished installing, and left the option to launch Digital Mirror checked, the application will be started automatically. To manually start Digital Mirror, double-click the Digital Mirror icon that the installer placed on your desktop. If you chose not to have the installer place an icon on your desktop, access Digital Mirror through the Windows Start menu.
When you first run Digital Mirror, you will see the Welcome window.
First setup: Selecting which email Digital Mirror will analyze
In the Digital Mirror Welcome window, you will need to set up your email account(s). Click "Set up email" in order to proceed to the next window, where you will choose which email account(s) you want Digital Mirror to analyze. The "Set Up Email" window gives you the option to "Add" an email account, or "Edit" or "Remove" an existing email account. The options to "Edit" or "Remove" will be enabled only when a source is selected from the list. If you have Outlook installed on your computer, Digital Mirror will preselect Outlook.
Once you've entered your information, click "Finish." Digital Mirror will then verify your account information and if it is correct, you will be directed back to the list of updated sources. If the username and password are not valid, an error message will be displayed. Unlike Outlook, where Digital Mirror can only analyze data from one Outlook profile, Digital Mirror is capable of analyzing data from multiple Gmail accounts.

Once you've selected the appropriate email source(s), you are ready for Digital Mirror to perform the analysis. Click "Begin."
If you receive any errors while customizing which files Digital Mirror will analyze, please see the Troubleshooting page (http://digitalmirrorsoftware.com/app/user_guide/1.1.2.0/messages.php) for information about possible error messages.
Note: For subsequent setups, you also have the option to edit and update your email sources by selecting "Update Using Different Email" directly from the File menu, located in the Overview window of Digital Mirror. Click "Update" to save your changes.
While Digital Mirror is processing your email, you will see the "Analyzing Email" window. Several options are available to you from this window:
Leaving this box checked will allow you to continue using your computer as you normally would, but Digital Mirror will take longer to process your email. We recommend leaving this box checked. If you uncheck it, your computer may become less responsive.
Allows you to instantly pause Digital Mirror processing. If Digital Mirror is using too much of your computer's CPU or memory, you can choose to pause processing while you complete other work. Click "Resume" to continue processing.
Allows you to stop Digital Mirror processing, saving progress to disk and allowing you to exit the application. Stopping may take a few minutes, depending on where Digital Mirror is in its analysis of your email. You should stop processing if you need to shut down or reboot your computer, and wish to finish processing later. Re-launch Digital Mirror and click "Resume" to continue processing. Please note that when you resume, the message counter will restart from zero, but will quickly scan through the already-processed messages and not process them again.
Shows details about Digital Mirror's progress analyzing your email.
Depending on how much email Digital Mirror has to analyze, as well as the content of that email, processing may take as long as several hours.
When Digital Mirror finishes analyzing your email, it will display the "Finished Processing" window. You are now ready to look in your Digital Mirror! Click the "OK" button to continue.

The Overview window presents you with a summary of your Digital Mirror. Based on the number of email messages Digital Mirror analyzed, and depending on whether those messages met certain characteristics, your Digital Mirror will contain up to nine visualizations. Ultimately, the available visualizations and sample visualizations of your personal Digital Mirror will vary depending on your unique data. In this window, available visualizations will be shown with their title, icon, and a "View Now" button, as in the example in area 1 in the screenshot above. Those visualizations that Digital Mirror was unable to create will be marked as SAMPLE. An example of how a sample visualization would appear is displayed as area 2.
If Digital Mirror encounters any issues while creating your visualizations, the Overview window will provide a message describing the issue. If you encounter such a message, please see the Troubleshooting page (http://digitalmirrorsoftware.com/app/user_guide/1.1.2.0/messages.php) for information about possible error messages that might occur within the Overview window.
Click the icon for the visualization that interests you the most (or just pick one at random!) to view it.

Every visualization window has several areas, which are shown in the screenshot above.
This area displays the title of the visualization you are viewing. See the information box (area 2) for more information about the visualization.
This area provides a brief description of the visualization and helps you interpret the visualization data in area 3. To learn even more about the visualization, or to read answers to frequently asked questions, click the links in the information box. The links will open in your default Internet browser.
This is it–the information Digital Mirror was able to glean about you based on the contents of the email it analyzed. This visualization may be static (like the Buck Passing visualization) or you may be able to view how it changes over time (like the Quality Time visualization). Visualizations that show change over time will have a timeline (area 4), while static visualizations will not.
Visualizations that change over time will show a timeline. Use the timeline controls–the Play/Pause button and the playhead marking the currently displayed month–to navigate through the range of time for which data is available for a specific visualization. You also have the option to drag your cursor along the timeline to scroll to a particular point in time.
Use this button to return to the Overview window.
Use the visualization selection bar to jump directly to other visualizations without returning to the Overview window.
After you have generated your Digital Mirror visualizations once, you will have an option of updating them to include any new mail you receive. Every time Digital Mirror updates visualizations, it will save the last set of visualizations as a "snapshot." The snapshot selection menu can be used to access previous snapshots of your Digital Mirror.
Use the "File" menu to access functions such as printing, saving a visualization as an image, or updating visualizations to reflect any new messages you have received since Digital Mirror last analyzed your email. The "View" menu provides additional ways to navigate visualizations, and the "Help" menu links you to more information about Digital Mirror.
The first step to understanding your visualizations is to learn more about what goes into creating them. More information about each of the nine visualizations is available on the following pages:
To learn more about how your visualizations were generated, click on events or elements in visualizations that display evidence supporting Digital Mirror's findings. The visualizations that display evidence are the following:
Click on a square with activity to view up to five examples of emails that were used as evidence of a particular group's participation in discussion on a particular topic.
Click on a cell in the columns for blow-off language, messages initiated, or times consulted to view up to five examples of emails that were used as evidence of these behaviors.
Click on an individual other than yourself to see up to five examples of emails that were used as evidence of buck passing between you and that individual.
Click on an icon that represents loud talking activity to view up to five examples of emails that were used as evidence of loud talking.
Click on a temperature gauge when it is indicating a non-zero reading to view up to five examples of emails that were used as evidence of elevated emotional temperature.
Click on an emoticon in the table to view up to five examples of emails that were used as evidence of a stressful topic.
